Zapier and n8n both do the same job: when something happens over here, do something over there. Zapier is hosted and easy and charges per task. n8n can run on your own server, which costs less once volume grows and keeps the data on infrastructure you control.

A new enquiry, say. Where does it start, where does it need to end up, who touches it on the way?

Low volume and simple: Zapier, and it will be running this week. High volume or sensitive data: n8n on your own server.

What happens if the other system is down, or the email bounces? A flow that silently drops records is worse than no flow.

A diagram of what connects to what, so nobody is afraid to touch it later.

What if I already have Zapier and it is a mess?
Common, and fixable. Untangling and documenting an inherited set of Zaps is often a better first project than building anything new.
